Can vendors complete onboarding on a mobile phone?
Yes. The vendor onboarding form is fully mobile-optimised. Vendors can complete all four steps (including document uploads using their phone camera) on any Android or iOS device without installing any app. The form auto-saves progress so they can switch devices or resume later if interrupted.
If PAN verification fails (due to an invalid number, name mismatch, or deactivated PAN) the vendor is shown a clear error message and the submission is held. Your team is notified and can either contact the vendor to correct the details or manually override the check with a documented reason for audit purposes. The vendor remains inactive until the issue is resolved.
When a vendor submits their bank account number and IFSC, OneFinOps initiates a penny-drop transaction (a ₹1 credit to the account) to confirm the account is active and belongs to the vendor. The account holder name from the bank response is matched against the vendor's registered name. This prevents fraudulent bank detail submissions and protects you from misdirected payments.
Yes. You can create multiple vendor categories (IT Services, Logistics, Raw Materials, Contractors, Foreign Vendors) and define a unique document checklist for each. For example, foreign vendors may require a TRC (Tax Residency Certificate) while domestic vendors need MSME certificates. The onboarding form automatically shows the right checklist based on the vendor category selected during invitation.
