Vendor Master

One vendor record. Every transaction in view.

Bills, POs, payments, contracts and GST posture on the same vendor record AP and procurement post against. KYC at the top, transaction history below, performance over time, risk score in the corner. No second master to reconcile.

KYC Verification

KYC verified live at every bill.

GSTIN against CBIC, PAN against CBDT, MSME against Udyam, Aadhaar against UIDAI (where consented). Verification runs at vendor onboarding and re-runs at every bill capture. Status changes (cancelled GSTIN, inoperative PAN, expired Udyam) surface before the next payment.

Vendor Risk Scoring

Vendor risk, scored nightly.

Composite score across four dimensions: filing posture (GSTR-1 and 3B on time?), payment behaviour (invoices match POs?), concentration (% of total AP) and dispute history. Weights configurable per organisation. Score updates nightly. The CFO sees risk before the cheque clears.

Vendor Onboarding Portal

Vendors onboard themselves.

Vendor self-service portal for KYC submission, OTP-verified at every step. Documents (GSTIN cert, PAN, Udyam, ISO, bank details) uploaded by the vendor, verified live, routed for your approval. Document expiry alerts on the calendar. Most vendors live in your books in a day.

Vendor Performance Tracking

Performance over time. Alternates when it slips.

On-time delivery rate (GRN vs PO promised date). Quality acceptance rate (rejected vs received quantity). Average payment cycle (your timing on their bills). Per vendor, over time. When a score declines, alternates from your catalog surface so procurement can act before the relationship becomes a single point of failure.

MSME 43B(h) Compliance

Section 43B(h), enforced at the vendor. Not at year-end.

Udyam registry verified at vendor onboarding and re-checked at every bill capture. The 45-day clock starts at the invoice date. The payment scheduler enforces the rule. Section 43B(h) disallowance surfaced before any override.

GSTIN Verification (Bulk)

10,000 GSTINs verified in one upload.

Upload up to 10,000 GSTINs in a CSV. Each is checked live against CBIC for active, cancelled or suspended status. Cancelled GSTINs in your vendor master surface as risk; cancelled GSTINs in your customer master flag receivable issues. The trail captures every check.

Vendor Self-Service Portal

No more "where's my payment?" emails.

The vendor sees their open POs, GRNs received, bills submitted, payment status and outstanding. They submit new invoices, update KYC, raise disputes. AP team chase time goes down. Vendor relationship goes up.

Buyer FAQ

What teams ask before they switch.

Can vendors fill their own KYC?

Yes. The self-service portal lets vendors upload documents, OTP-verify submissions and respond to KYC requests. Approval routing on your side captures the review trail. Onboarding moves from days to hours, with no email chase.

How is the risk score computed?

A weighted score across filing posture (GSTR-1 and 3B on time?), payment behaviour (do invoices match POs?), concentration (% of total AP), and dispute history. Weights are adjustable per organisation; the score updates nightly. Available for vendors with at least 3 months of activity.

Does it work for foreign vendors without a GSTIN?

Yes. Foreign vendors skip the GSTIN and MSME checks but still get the bills, payments, contracts and risk surface. Section 195 TDS, DTAA position, TRC and Form 15CA / 15CB metadata appear in place of the GSTIN posture.

MSME 43B(h). How is the 45-day rule handled?

Udyam status is verified at onboarding and re-checked at every bill capture. The 45-day rule is enforced at the payment scheduling step, with the Section 43B(h) disallowance and MSMED Section 16 penal interest surfaced before any override.

How is performance scored?

On-time delivery rate (GRN date vs PO promised date), quality acceptance rate (rejected qty vs received qty), and average payment cycle (your timing on their bills). Each component is configurable; the composite score updates monthly. Score declines surface alternates from your catalog.

Can our CA pull a vendor record for audit?

Yes. One-click hash-verified PDF export packages all linked transactions, contracts, KYC documents and the resolved risk score. Per vendor or in bulk by entity. The format aligns with Big-4 audit-pack expectations.

We have six entities. Is the vendor master shared or per-entity?

Both, by design. The vendor record is shared at the group level (one PAN, one Udyam, one TDS history). Per-entity overrides handle entity-specific contracts, payment terms and approval matrices. The risk score rolls up to the group.

Upload your vendor master. See the verification by morning.

Bring your top 100 vendors as a CSV. CBIC GSTIN, CBDT PAN, Udyam and MCA21 checks run overnight. The risk score, the cancelled-GSTIN flags and the MSME exposure all show up before your next payment run.
